Check In/ Check Out Function (Force Desk Mobility)

The check in/check out function makes an extended and highly flexible variant of desk sharing possible. In this way firms can make even more efficient use of their workplaces: a reserved workplace must be confirmed by check in within a given time.

If the reservation is not followed up, the booking is automatically cancelled after expiration of a waiting period and the workplace made available for general use again. Customers receive an evaluation of intended allocations that are not followed up by means of so-called “no-show” reports.

For years indication of booking information on electronic reception and room displays has been standard practice with Gingco.Net/Estate. We can now offer as a further development the option of making just-in-time bookings directly on the door label.

By logging in manually or with an ID card the registered user can book or cancel rooms by means of a touchscreen. The interface is hardware-independent. Any number of rooms can be shown, and booked, on one display.

Gingco.Net has developed a special interface that is tailored directly to the features of the iPhone OS. In more extensive projects solutions for mobile browsers and the BlackBerry are also being developed.

The existing Gingco.Net/Estate approval workflow system has been extended with the “cost approval” function. It is now possible, where the fixed budget has been exceeded, to obtain the agreement of a person in authority without delay. In this way the software contributes even more to the company’s cost control, fulfilling the customer’s controlling requirements without time-consuming consultations or forms.

Rescheduling of appointments in the calendar views can also be carried out very simply with Gingco.Net/Estate by means of drag & drop.
In particular, people who make many bookings, such as those responsible for rooms or secretarial offices, now have the option of making changes to room bookings especially efficiently and quickly, thus organizing optimal use of conference areas.


Guest ID

The Guest ID Module

Guests and external participants at meetings have always been able to receive invitations and notifications by means of our software. The new Guest ID function now offers a direct interface to ID printers in order to further facilitate your receptionist’s work load. The organizer only has to indicate the participants in question and the data is forwarded directly to the corresponding peripheral devices. Additional manual processing of the data by reception is, of course, possible at any time.


E-Mail Appointment

New E-Mail Appointment Formats

With the new optimized e-mail appointment formats participants can accept or refuse invitations directly with the usual Outlook functions. So customers who do not have the Outlook plugin are also able to use the calendar functions of your group software intuitively and easily. This optimization is of course made available at no cost whatsoever to all existing customers within the framework of the all-inclusive price for services and updates.


Display module

New Display Management for Optimal Room Information

Along with their cooperative partner Net Displays Systems, Gingco.Net New Media has developed a new module for improved visitor and room information.

With the aid of an XML interface and special administration interfaces it is now possible to provide displays situated in (for example) meeting rooms or reception directly with booking information.

The manifold options allow customers to adapt the information to their own requirements. Via the PAD system developed by Net Displays all room and direction displays can now be controlled and all relevant information transmitted.

Visitors are thus informed by monitors in the reception area where the room they are looking for is in the building and which direction they need to take. Room displays in the meeting rooms give information over flash displays as to who has booked the room, for what purpose and for how long. It is also possible to show all bookings on the displays.


HighLight Munich Business Towers

The Operators of the Frankfurt Trade Fair Tower choose Gingco.Net/Estate

At just 257 metres, its prominent pyramid and classical silhouette makes the Frankfurt Trade Fair Tower a city landmark and one of the tallest office buildings in Europe. After the acquisition of the Highlight Munich Business Tower by Fujitsu Siemens Computers this is the second imposing skyscraper that Gingco.Net has been able to acquire.

The bookable conference rooms for internal and external clients in the Trade Fair Tower are entirely administered and managed by Gingco.Net/Estate. All conference packages can be booked and priced with the relevant fees via the central reservation facility.

Together with our Net Displays partner, Gingco.Net has also equipped the Tower with information displays that are administered via the display module and furnished with the PAD system.


Outlook plug-in

New Outlook Plugin Developed

The Gingco.Net/Estate development team has come up with the latest function component: Gingco.Net/Estate combines the professional management functions and business logic of the booking system with the existing calendar and participant functions of your group software. The planning of both appointments and participant availability are dealt with as before in the group software.

These parameters are automatically adopted for room searches, with the booking software showing you suitable rooms. In addition, when a room is booked the location of the meeting is simply transferred to the dates in the calendar.

Gingco.Net New Media Develops a New Booking Concept with Stationary Kiosk Systems

Gingco.Net New Media has extended the scope of its booking software functions. The software developers now offer a forward-looking kiosk concept which organizes the booking of workplaces in an even faster and more efficient manner.

Employees can now book their workplace on a daily “just-in-time” basis via stationary kiosk systems which are set up in the customer entrance for example. Booking is carried out via specially developed touchscreen interfaces, permitting authorized staff to individually select a workplace or to have a free place in the Open Space Zones allocated to them automatically by the system. The user simply logs in on a card-reader with his or her employee ID.

The kiosk systems are based on Gingco.Net/Estate software and are linked to the central booking server. Operation of the system, as well as the full scope of functions, is naturally still guaranteed by means of the standard browser.

Thorsten Göbel, head of the Gingco.Net development team, is proud of the new solution. “With this visionary concept we can offer our clients entirely new ways of managing workplaces. It can be integrated in existing concepts without difficulty, while offering the advantage of making still faster bookings at a click without the user having to use a special workplace calculator.”
